Add and manage clients

client

Create a client to establish the baseline unit counts that drive pricing. The client page becomes your hub for tracking seat context, MRR, margin health, and plan status across draft, active, and renewal stages associated with your customers.

Before you begin

  • You have Owner or Analyst permissions.
  • Have the client's current Users, Desktops, and Mailboxes (and other unit types you may have defined) counts on hand.

Adding a client manually

  1. Open Dashboard.
  2. In the Clients section, select Add client.
  3. Enter the Client name.

Importing clients from a PSA integration

If you've connected a PSA tool (such as Autotask), you can import your client roster directly instead of adding clients one at a time.

  1. Go to Global SettingsIntegrations.
  2. Select your connected PSA provider.
  3. Click Edit Settings to open the client sync wizard.
  4. Set your sync filters (company types, classifications, active/inactive) to control which companies are pulled from the PSA.
  5. Review the list of companies. For each one, choose an action:
    • Create — adds a new ClarityCalc client from the PSA company.
    • Map to Existing — links the PSA company to a client you've already created in ClarityCalc.
    • Skip — ignores the company for now.
  6. Click Execute Import.

Imported clients are linked to their PSA counterpart. When you sync again later, ClarityCalc shows which records have changed so you can review updates before applying them.

💡 Tip

You can run the sync wizard as often as you like. It only pulls data when you initiate it, and it never overwrites your data without showing you the changes first.

Managing clients

Once a client exists (whether created manually or imported), you can:

  • Update unit counts from the client detail page.
  • Create plans for the client from the Plans tab.
  • View MRR, margin, and cost metrics on the client dashboard.
  • Unlink a client from a PSA integration without deleting the client record (go to Global SettingsIntegrations → your provider, find the client in the Linked Clients section, and click Unlink).
